  1. What is Smart Checklist? 

Smart Checklist is a Jira add-on that allows you to include to-do lists in your Jira tickets. You can also create checklist templates for recurring tasks. They will be automatically added to an issue based on your triggers and criteria.


  1. What are the differences between the Smart Checklist FREE and Smart Checklist PRO checklist plugins?

Smart Checklist Pro and Free are separate add-ons. The free version is limited to 5 templates, and a maximum of 20 items per checklist, and it is only available for Jira Cloud. You can compare the plugins in our documentation.


  1. How much does Smart Checklist cost?

There are 2 add-on versions Smart Checklist Free and Smart Checklist Pro.

Smart Checklist Free is free. However, you can switch to the Pro version once you feel productive and have evaluated Smart Checklist usage on the Free edition.

☝🏼 NOTE: Smart Checklist Free is only available for Cloud. Pro version is available for both Cloud and Data Center with 30-days trial.


  1. How to install the Smart Checklist Plugin for Jira? 

You'll need admin or system admin permissions to install Smart Checklist. You can install it directly from the Atlassian Marketplace.


  1. Is Smart Checklist available on Jira Cloud or Data Center?

While Smart Checklist Pro is available on Jira Cloud and Data Center, Smart Checklist Free is only available on Jira Cloud.


  1. Can I migrate from another checklist app to Smart Checklist?

You can import your checklists from Issue Checklist for Jira into Smart Checklist. You can also use a CSV file to bulk import your checklists from other sources.


  1. Can I import my checklists from other sources?

Yes, we support CSV import from other sources. You can also import checklists from Trello directly via our power-up.


  1. Is Smart Checklist GDPR compliant and what are our data privacy policies?

Yes, Smart Checklist is GDPR compliant. You can learn more our data privacy and security policy via the following links:


  1. What data is stored and transferred outside of my JIRA?

Here is our Privacy Policy which answers this question. However, this is the most important extract from the Policy which refers to the checklist contents: "Railsware does not store the contents either of your Cloud nor your Server instance’s checklists. This data is stored by Jira, and so - the terms of the Atlassian Privacy Policy applies in this case."


Smart Checklist functionality ⭐️


  1. Can I use a checklist as a template for a JIRA Project?

Sure, you can Save Checklist as a template, load from Templates library, set checklist as Default per project, so once a new item is created - default checklist loaded. Read more about the Templates feature.

That could be used for predefining

  • Definition of Done (DoD)
  • Quality Assurance checks
  • Repeatable process description (release/deploy)
  • and much more!

Alternatively, you can simply create a ticket in JIRA that you will use as a template. Then clone it each time you need a new task with the same checklist.


  1. Can I use a checklist template for a certain issue type? 

Yes! Read how to configure it here.


  1. Can I use checklist templates in Automation for Jira?

Yes, you can use Smart Checklist Templates in Jira Automation by referring to them by their IDs. 


  1. Where can I find the list of Templates?

Templates (Global and Project) can be found in 2 places:

  • Template pop-up on the Issue view;
  • Smart Checklist Project Settings.

  1. Can I determine what projects are using Smart Checklist?

Yes, it is possible. You need to craft a proper JQL query and look for Jira issues that have a non-empty "Checklists" custom field.


  1. How can I search through checklists?

Go To "Issues" menu items ➡️ "Search for Issues". Use JQL (JIRA Query Language). Search query examples can be found in the article Search and JQL support.


  1. Is there a way to create checklists via Jira project import from a CSV file?

Yes! Just follow these instructions to get your issues with checklists transferred to your Jira instance.


  1. Can I check all my assigned items in one place?

Yes, there is a dedicated page for this purpose – Assigned Checklist Items page 


  1. How can I bulk delete checklists in my Issues?

To delete the Smart Checklist content, you can select the "Checklists" custom field and leave it empty (don't put any value) during the bulk update. As a result, the checklists will be deleted (replaced by blank).

First, perform a search with the required filters to find a list of Issues. Then, use the Bulk Edit function where it is possible to update the “Checklists” custom field.   1. [Journey to Cloud] Atlassian announced the end of sale for new Server licenses on February 2, 2021. Is it the same with the Smart Checklist add-on?

Here's the approach Atlassian is taking regarding Server apps licenses:

After February 2, 2021 PT, server customers can no longer purchase or request a quote for any of the apps we are including with Data Center as part of these changes.

For all other Marketplace apps, existing server customers will be able to continue purchasing apps until February 2, 2023 PT. Ongoing app renewals are expected to be prorated with an end date of February 2, 2024 PT to match your server products' end of support date.

  1. We’re migrating from Jira Server to Data Center. Will our purchased Smart Checklist license continue working on Data Center?

Add-ons' licenses for Jira Server and Data Center need to be purchased separately. As a part of the migration from Jira Server to Data Center, Atlassian offers refunds for the unused period of purchased apps. For more information, please visit Atlassian Purchasing and Licensing FAQ


  1. How can I migrate from Jira Server to Jira Cloud?

Please follow the steps from the article Migrate checklists from Jira Server to Jira Cloud.


  1. We’re migrating from Jira Server to Cloud. Can we have our trial period extended for Smart Checklist for Jira. Pro Cloud?

Since Smart Checklist is presented on the Atlassian marketplace, our team is not in charge of the trial extension, unfortunately.

Atlassian team offers cloud migration trial for Jira instance and the add-ons during the Server to Cloud migration process. The official policies can be found here. Thus, we advise you to reach out directly to the Atlassian Support team to consult on your individual case. 

In case the Atlassian team is unable to provide an extended trial for your migration, please write to us on smartchecklist@railsware.com and we will search for alternatives.
